Privacy Policy
1D3R is a Discord bot and web dashboard run by 1D3R Gaming ("we", "us"). This policy explains what information the bot and the dashboard at dashboard.1d3r.com collect, how it's used, who can see it, and the choices you have. It applies to every Discord server that adds the bot.
The short version: the bot stores what a server sets it up to handle, such as tickets, applications and moderation records, so that server's staff can use them. Some features send text or audio to OpenAI to work, including a safety check of every message unless the server turns it off. A server can also turn off every AI feature at once. 1D3R never handles money: shop payments go straight from buyers to sellers. We don't sell personal information, we don't show ads, and our own admin tools show counts and settings, not your messages.
1. Information we collect
Discord account details
When you use the bot or are part of a feature in a server that uses it, we store your Discord user ID and, where needed, your username, display name and avatar. We never receive your Discord password or email address.
Signing in to the dashboard
The dashboard uses "Sign in with Discord" with the identify, guilds and guilds.members.read permissions. That lets us show you the servers you can manage and check your roles there. We keep a sign-in session (a cookie and a Discord access token) until you sign out or it expires after 7 days without use.
Content a server sets the bot up to handle
Server staff decide which features are on. Depending on that, the bot may store:
- Support tickets: the messages in a ticket channel, links to attachments, who opened and closed it, and a transcript.
- Ticket summaries: when a ticket closes, its conversation is sent to OpenAI to write a short summary of the problem and fix. Staff review each one before the support assistant can use it to answer similar questions in that server. We ask the AI to leave out names and personal details, and remove any emails, phone numbers, IP addresses and keys it leaves in. Premium servers also get a short AI summary at the top of each web transcript. A server can turn either of these off on the dashboard's Privacy & data page.
- Ticket ratings: the stars and optional comment you give after a ticket closes, and which staff member handled it.
- The support assistant: when it replies in a ticket or when you mention the bot, your message and recent conversation are sent to OpenAI to write the reply.
- Applications: your answers, when you applied, the decision and any note from reviewers. Some servers add an AI pre-screening summary for reviewers.
- Voice recordings: only when a staff member starts one with
/record. The bot announces in the voice channel that the session is being recorded and transcribed. We store the audio, a transcript with speakers' names, and AI meeting notes, and delete all of it automatically 6 months after the recording. - Moderation: warnings, timeouts and bans issued through the bot, with reasons and the moderator.
- AI safety check: unless a server turns it off, every message in that server is sent to OpenAI's moderation check to look for severe threats and abuse. OpenAI returns a score; we don't keep the message. When a message is flagged, we keep the member, the channel, the first 500 characters of the message, the reason and what the bot did, for 90 days, so the server's moderators can review it and undo a mistake. Each server chooses whether the bot deletes the message and times the member out, deletes it only, or just reports it to the moderators. The check is part of the server's AutoMod: its flags are AutoMod incidents and count as strikes toward the server's AutoMod escalation rules. It checks everyone, staff included, unless the server chooses to skip the roles and channels its AutoMod ignores.
- 1DShop (selling in a server): the products a server lists, what you put in your cart, and your orders: the items, prices and discounts, the payment method you chose, any payment reference you enter, and when staff confirmed it. If you leave a review after buying, we keep your stars and comment. Payments go straight from you to the seller, through the payment links the seller sets up, under that payment service's own terms. 1D3R never handles the money and never sees card or bank details. Sellers can keep a payment ledger of their orders, with transaction IDs, fees, refunds and chargebacks, and can add sales made outside the shop. Your receipt is sent to you by DM. If your DMs are closed, it's posted in your purchase ticket instead, and you can have it sent by DM later. If you leave something in your cart, the server can choose to send you a reminder by DM, sometimes with a one-time discount code. If the server gives you store credit or you redeem a gift card, we keep your balance and a record of each change: who gave it and why, which gift card, and which orders used it. If a product is delivered through Google Drive and you request access, the email you type is kept with your order and shown to the seller's staff, so they can share the file with you.
- 1DDrop giveaways: who entered each giveaway and when, any bonus entries, who won and whether they claimed the prize. Entry rules, such as roles, account age or level, are checked when you enter; we don't keep a separate copy of them. Winners are pinged in the channel and, if the server chooses, sent a DM. Each draw comes with a code anyone can use to check it was fair.
- 1DVote polls: your vote and when you voted, so it can be counted and so you can change it while the poll is open. On polls that aren't anonymous, the server's staff can see and download who voted for what. On anonymous polls, they can't. The bot still keeps each vote to count it, but the dashboard and downloads only show the totals.
- 1DShield (server protection): the bot reads the server's audit log as changes happen, to spot someone mass-deleting channels or roles, mass-banning or kicking members, or adding bots and webhooks. When someone goes over a limit, we keep a record of who did it, what they did and what the bot did about it. To help put things back, we keep a copy of each deleted channel and role, including which members had a deleted role, for 30 days. On Premium, a server can also keep snapshots of its roles and channels, and which members had each role.
- Community features: chat XP and levels, profiles and badges, suggestions, reaction role choices, and anything staff configure, such as custom commands, help topics and sticky messages.
Counts and activity
- Server insights: how many messages were sent per hour and per channel, which members were active on which days, member join and leave times, and voice activity totals. No message text is stored for insights. A server can turn this counting off, and delete what was counted, on its Privacy & data page.
- AI usage: how many AI requests each server made and roughly what they cost. No message content is stored for this.
- Logs: dashboard changes (who changed which setting, and when) and technical logs (errors and events) used to keep the service running. Technical logs don't include what members wrote, and are deleted after 14 days.
Feedback you send us
If you use the dashboard's Feedback button, we keep what you wrote along with your Discord user ID and name, the server and page you were on, and the time. Our team reads it on our admin site, and the bot's owner gets a copy as a Discord message.
2. How we use it
- To run the features a server turned on and show their results to that server's staff.
- To keep the service secure, prevent abuse, fix problems and keep it reliable.
- To plan fair usage limits and, once paid plans launch, to manage Premium subscriptions.
We don't sell personal information, use it for advertising, or use it to train AI models.
3. Who can see it
- That server's staff, depending on the dashboard permissions the server owner gives them. A server's data is never shown to another server.
- You, for your own ticket transcripts, after signing in with Discord.
- Us, to operate the service. Our admin tools show servers, plans, settings and counts. We only look at a server's content when we need to fix a problem it reported, investigate abuse, or when the law requires it.
4. Services we rely on
These companies process information for us, only to run the service:
| Service | What for | What they receive |
|---|---|---|
| Discord | The platform the bot lives on, and signing in to the dashboard | Everything the bot does happens through Discord (Discord's Privacy Policy) |
| OpenAI | The AI features: the safety check, the support assistant, ticket and recording summaries, application pre-screening. Nothing is sent while a server has AI turned off | The text or audio each feature needs, sent through OpenAI's API. OpenAI says API data isn't used to train its models, and may be kept for up to 30 days to monitor for abuse (OpenAI's Privacy Policy) |
| Cloudflare | Secure connections to the website and dashboard, and protection from attacks | Web traffic to our sites, including IP addresses (Cloudflare's Privacy Policy) |
| 1of1 Servers, Ashburn VA | The computer the bot, databases and backups run on | Everything we store, encrypted in backups |
| Pushover | Alerts to our team's phones, such as outages, security problems and new feedback | The alert's text, which can include a server's name or the start of a feedback message (Pushover's Privacy Policy) |
| Google Fonts | The fonts on our website and dashboard | Your browser loads the fonts from Google, which sees your IP address (Google's Privacy Policy) |
| Discord's subscription system | Premium plans, once they go on sale | Payments. We don't receive or store card details |
5. How long we keep it
Server owners can set shorter times for some records on the dashboard's Privacy & data page. Anything older is deleted for good within about an hour.
| Record | Kept for |
|---|---|
| Tickets and transcripts | Until staff delete them, or the time the server owner sets (30 days to 2 years) |
| Applications | Until staff delete them, or the time the server owner sets |
| Moderation records (warnings, member history, join and leave records) | Until staff delete them, or the time the server owner sets |
| Ticket ratings | Until staff delete them, or the time the server owner sets |
| 1DShop orders, payment ledger entries, reviews, store credit and gift cards | Until the seller deletes them or the server's data is deleted |
| 1DShop carts | Until you check out or empty your cart, or the seller deletes it |
| Giveaway entries and winners, poll votes | Until staff delete the giveaway or poll, or the server's data is deleted |
| 1DShield copies of deleted channels and roles | 30 days |
| 1DShield snapshots (Premium) | The newest 7 automatic and 5 manual snapshots; older ones are deleted |
| 1DShield incident records | Until the server's data is deleted |
| Member history notes staff delete | Erased 30 days after they're deleted |
| AI safety check flags | 90 days, or less if the server owner sets a shorter time for moderation records |
| Voice recordings, transcripts and notes | 6 months, then deleted automatically |
| Insights counts and member join records | About 13 months |
| Which members were active on which days | 120 days |
| Levels, profiles, settings and other community features | Until staff delete them or the server's data is deleted |
| Dashboard sign-in sessions | Until you sign out, or 7 days without use |
| Technical logs | 14 days |
| AI usage counts (no message content) | While we need them for planning and billing |
| Feedback you send | Until we've dealt with it. Ask us and we'll delete it |
| Backups | About two weeks, encrypted and stored on a separate machine from the live data. Anything deleted is gone from backups once they roll over |
If the bot is removed from a server, that server's data is kept in case it comes back. The server owner can download or delete all of it at any time from the dashboard's Privacy & data page. Records of payments are kept for accounting.
6. Your choices
- Most data belongs to the server you used the bot in. Start by asking that server's staff, who can delete tickets, recordings and other records from the dashboard. The server owner can also download everything 1D3R keeps for the server, or delete all of it.
- Server owners decide which AI features are on, whether activity is counted, and how long records are kept, on the dashboard's Privacy & data page. They can also turn off every AI feature at once with the AI switch on the dashboard's Settings page. While it's off, nothing from that server is sent to OpenAI.
- You can always leave a giveaway, take back your vote while a poll is open, and empty your cart.
- You can ask us for a copy of the information we hold about your Discord account, or ask us to delete it, using the contact details below. We'll need to confirm the request comes from the account's owner. We may keep some records where we have to, for example to deal with abuse or to meet a legal obligation.
- You can leave a voice channel at any time to avoid being recorded, and you don't have to rate a ticket.
7. Children
Discord requires users to be at least 13 (or older where local law requires). The bot is meant for people who meet Discord's age requirements. If we learn that we've stored information about someone under 13, we'll delete it.
8. Security
We protect information with access controls, encrypted connections to the website and dashboard, rate limits, encrypted backups, weekly checks of the software packages we use, and two-step sign-in for our admin tools. Server owners can require two-step sign-in for everyone who opens their server's dashboard. The bot asks Discord only for the permissions its features use. No system is perfectly secure, so we can't promise that information will never be accessed without permission. To report a security problem, see our Security page.
9. Where information is processed
Information may be stored and processed in the United States and in other countries where Discord, OpenAI and our providers operate.
10. Changes
We'll update this page when the way we handle information changes, and change the date at the top. For significant changes, we'll also post a notice in our Discord server or the dashboard.
